The Embassy of Japan in Slovenia is seeking a motivated, talented, and organized Administrative Assistant to provide secretarial, research, and public relations support to its diplomats. Details of the position are as follows. Interested candidates should submit their application by 19 March 2026.

  1. Employment period:
A one-year contract, with an initial six-month probationary period. The contract may be extended based on performance.
 
  1. Starting date:
Around April or May 2026 (negotiable)
 
  1. Working hours:
Monday to Friday, 9:00-17:00 (including a 30-minute lunch break)
Overtime and holiday work may be required for operational needs including emergency responses, in accordance with Slovenian laws and regulations.
 
  1. Salary:
At least €21,000 per year, with the actual amount determined based on experience and skills.
Allowances and paid leave will also be granted in accordance with Slovenian laws and regulations.
The embassy covers compulsory social security contributions.
 
  1. Main duties (The type and amount of duties assigned will vary depending on experience and ability, and embassy circumstances.):
- Diplomatic Support: Liaising with relevant organizations in Slovenia, managing the Embassy's contact list, drafting letters, organizing various events, drafting speeches, providing translation and interpretation support when necessary, collecting information, and conducting research.
- Secretarial and Administrative Support: Answering incoming calls, scheduling appointments, procuring and managing office equipment and facilities, and other general administrative tasks.
* Note on Duties in General: Operations are conducted under the supervision of diplomats. Duties may be reshuffled and reassigned among local staff as needed.
            
  1. Requirements:
- An excellent command of spoken and written English.
- Native-level proficiency in Slovenian.
- Some knowledge of Japanese (speaking, writing, and comprehension) is preferred.
- A bachelor’s degree or higher.
- Good IT skills (e.g., MS Word, MS Excel).
- Excellent communication skills for building trust and fostering collaboration within a team.
- Ability and initiative to proactively identify and execute necessary tasks, consulting with supervisors as appropriate.
